Schedule: Monday – Friday, 7:30 AM – 4:30 PM (Lunch from 12:00 PM – 1:00 PM)

We're seeking a dedicated and organized Front Desk Office Administrator to join our dynamic office. This is a key role that helps ensure our office runs smoothly, supporting our project managers, estimating department, and the overall team. Key Responsibilities:
  • Front Desk Management: Greet visitors with a friendly and welcoming attitude. Answer phone calls and connect them to the appropriate staff.
  • Document Organization: Manage general filing of documents to keep jobs and files organized. Archive plans and documents from the field in a timely manner.
  • Support for Project Managers: Make follow-up phone calls as needed and assist with miscellaneous project-related tasks.
  • Bid Management: Assist the Estimating Department with bid solicitation, tracking, and organizing.
  • Insurance Coordination: Manage the insurance certification process, including tracking subcontractors’ insurance certificates and coordinating with our insurance agent.
  • Subcontractor Interaction: Distribute paperwork, such as checks and notices, to subcontractors when they come into the office.
  • Mail and Supplies: Manage incoming and outgoing mail. Monitor and order office supplies, ensuring everything is well-stocked and organized.
  • Office Maintenance: Keep the lobby and front area clean and orderly. Take care of miscellaneous housekeeping items and empty trash in main areas as needed.
  • Technology Management: Monitor printer and plotter toner levels and replace as necessary.
  • Onboarding Assistance: Help new employees with processing applications, providing healthcare and 401k information, creating personnel files, setting up email accounts, and preparing phones/tablets.
